The Authority is looking to hire a Student Assistant in the Central Valley team (Fresno). The student would work on communications and outreach.

GENERAL STATEMENT: Under close supervision by the California High-Speed Rail Authority’s (Authority) Information Officer II, or designated representative of the Authority, the Student Assistant (SA) will support the Stakeholder Management and Communication team by assisting with the execution of Authority events, drafting public outreach presentations and materials, and attending and monitoring public meetings. The SA will also assist with services related to the Business Administration Unit by performing supply inventory analysis, front desk coverage, and receiving and cataloging goods and supplies.

Outreach • Develops and edits presentations, speaking materials, and correspondence about the high-speed rail project for dissemination to community members and stakeholders. • Supports the communications team with planning public outreach events, including the setting up and tearing down of equipment at community meetings. • Attends and monitors public meetings; assists with notetaking, and supports the Central Valley Regional office with responses to inquiries from stakeholders. • Assists with inventory and purchasing of outreach equipment. • Drafts content for social media accounts that include project updates, construction photos, and other program milestones.

35% (E) Administrative Support • Supports the administrative team by creating and maintaining supply inventory templates and alerts the procurement manager when supplies are needed.

SUMMARY 

Under general supervision of the assigned supervisor, an Intern performs a variety of support functions, including but not limited to research, data entry, filing, and day-to-day operations tasks of the assigned program. This may include customer service, community outreach, data input, and assisting in preparation of any departmental duties and services.  

DUTIES AND RESPONSIBILITIES/ESSENTIAL FUNCTIONS

  • Abides by, embraces and integrates established Core Values into everyday interactions within the work environment including interaction with co-workers, as well as our WIC participants, as defined within the Employee Standards of Excellence. 
  • Provides outstanding customer service in everyday interactions.  Greets participants in a cordial manner. 
  • Maintains Books for Kids inventory and distribution by coordinating with the WIC Assistant Director. 
  • Sorts books into categories based on age and language.
  • Distributes sorted books to site based on percentage of caseload.
  • Arranges and participates in book pick up events for WIC participants.
  • Documents books distributed using WIC WISE (the California WIC computer program).
  • Mails book inventory as needed and tracks and documents postage costs.
  • Refers participant concerns to supervisor.
  • Fulfills assigned tasks set out by supervisors to support daily operation of the Books for Kids program.
  • Performs research as needed at a supervisor's request.
  • Assists with preparing and maintaining Word, PowerPoint, and Excel documents.
  • Tracks progress, priorities, and deadlines of the Books for Kids Project.
  • Learns and becomes proficient on internal software systems.
  • Maintains computer and file systems as directed.
  • Promotes breastfeeding practices in all interactions.
  • Complies with all agency, state, and federal policies, procedures, protocols, and regulations. 
  • Engages in staff meetings as needed and represents the program in a professional manner. Communicates in a professional and effective manner; develops and maintains effective working relationships with site staff and others. 
  • Travels on short notice between work locations within program service area. Travels for agency business using reliable transportation.

  • Works evenings and weekends as needed for outreach events where books are distributed.
